Development Division

  • 1. Design Architect
    • Help in conceptualising project and planning of projects.
    • Explore and develop design alternatives until realisation.
    • Prepare presentation materials to illustrate the design intent.
    • Perform other duties as assigned.
  • 2. Secretary, Project Management
    • Provide a full range of secretarial, administrative and clerical support services, including filing, faxing mail, photocopying, correspondences, incoming calls, telephone screening and also handle incoming  emails for the Chief Project Manager.
    • Take minutes of meeting as and when necessary.
    • Draft and prepare correspondences/ facsimile message/ emails/ letters on behalf of the Chief Project Manager.
    • Prepare routine reports or other reports as and when required.
    • Arrange meetings and appointments for the Chief Project Manager.
    • Liaise and follow up on matters on behalf of the Chief Project Manager.
    • Safeguarding confidentiality of company information and assets.
    • Maintain an efficient and secure filing system for the office.
    • Ensure proper handling of documents with regards to distribution and responses.
  • 3. Accountant
    • Review and ensure that the management accounts and management reports are prepared on a timely basis.
    • Manage daily cash flow requirements, bank borrowings and other treasury functions, including liaising with bankers and solicitors.
    • Preparation and monitoring of budgets and forecasts.
    • Manage all audit, taxation and GST matters, including liaising with auditors and tax agents.
    • Develop, implement and monitor the effectiveness of internal controls.
    • Supervision of staff.
    • Review wages and salaries.
    • Review journal vouchers and payment vouchers, and signing of official receipts.
    • Liaise with the Trustee on operational and compliance matters.
    • Monitor and liaise with the Manager, Project on the charging and reimbursement of staff remuneration.
    • Liaise with Site Office and the staff of other divisions to obtain information and documents.
    • Preparation of Board Papers and attending Board Meetings.
    • Convene and attend Annual General Meetings.
    • Ensure compliance with Bursa Malaysia Securities Berhad’s Listing Requirements and Securities Commission’s Guidelines on Real Estate Investment Trusts, including preparation of the Semi Annual Returns, Annual Reports, Quarterly Announcements, REIT Returns and Anniversary Reporting.
    • Handle the REIT distribution, including liaising with Share Registrar and Nominee Companies.
    • Ensure that international accounting standards have been complied in the preparation of financial statements.
    • All other accounts related work requested by superior.
    • Complete credit application forms and provide necessary documents for third party suppliers.
    • Complete vendor application forms for tenants/ owners using outsourced payment centres.
    • Preparation and monitoring of budgets for ad hoc upgrading projects.
    • Calculation and analysis of service charge per sq ft for future projects.
    • Draft security service agreements, letter of offer from developer to facilities manager and facilities management agreements.
    • Perform the renewal of security license with Kementerian Dalam Negeri and the subsequent correspondences.
    • Review of security guard postings for each project.
    • Review/Draft circulars to owners/ tenants on an ad hoc basis.
    • Coordinate handover and finalisation of accounts between developer and Joint Management Body (JMB).
    • Conversion of service charges per sq ft to service charges per unit for each owner.
    • Calculation and analysis of car park rental rates for the coming year.
    • Review facilities management fees and administrative fees by project and staff charge out costs by designation on a monthly basis.
    • Review/Draft Joint Management Committee Resolutions.
    • Cost allocation for painters’ timesheets.
    • Review of landscaping fees by project.
    • Review of cost allocation for expenses between sub-accounts, developer, facilities manager and car park operator.
  • 4. Officer/ Assistant, Sales & Marketing

     

    A. Sales

    • Responsible for the sales of assigned projects and/ or properties internally and externally (Agent’s Sales) including proposing and implementing effective sales strategies to meet the Group’s sales objectives.
    • Monitor and track the sales process effectively to facilitate efficient sales closing and documentation within the set time frame.
    • Assistcustomers in obtaining the end financing needs as well as to arrange for the necessary sales documents to be executed by the customers with the Group’s panel lawyers.
    • Assist in organising sales and promotional activities.
    • Maintain the condition of the sales office and/ or show units at all times.
    • Monitor and follow up closely on every closed deal until the S&P and loan agreement is signed by relevant parties.

     

    B. Marketing

    • Conduct market studies to keep abreast ofthe market’s latest trend, consumer preferences and pricing benchmark.
    • Able to formulate effective marketing strategies and proposals.
    • Assist in the development, production and distribution of sales/ promotional materials including liaising with advertising agency/ media buying agency/ printer(s)/ other supplier(s) for all the marketing initiative materials.
    • Assist in APDL submission materials.
  • 5. Officer/ Executive, Sales Administration
    • Responsible for the administration and coordination of the properties sales transactions from the date of purchase until the date of signing of the Sale & Purchase Agreement and Deed of Mutual Covenant (if applicable) and loan documents for all the new sales cases.
    • Liaise and follow up with the panel solicitors and end-financiers to update the status of the new sales on the signing of SPA and DMC (where applicable) and loan documentation.
    • Prepare letter/ reminder letter to the new sales purchasers on the deadline on the signing of SPA and DMC and payment of balance 1st 10% of the purchase price.
    • Coordinate and follow-up with sales personnel on the issuance of the internal memo to claim for the introduction fees (where applicable) upon compliance with the terms and conditions for such claim.
    • Assist in sales during weekends at the Sales Gallery and/or site show house (where applicable).
    • Update data/ report (where applicable) for the projects as and when required to ensure that accurate records arei kept.
    • Compile and prepare information required by superior/ Management as and when required.
    • Perform other duties as and when assigned by superior/ Management.
    • Assist Senior/ other colleagues to prepare any documents as and when required as to meet the deadline given by Management/ relevant divisions/ authorities.
    • To relief the reception counter as and when necessary.
  • 6. Assistant Manager, Sales & Marketing
    • Responsible for meeting company sale targets.
    • Assist in planning, developing and executing sales strategies to meet organisational and business growth.
    • Manage overall project sales performance and ensure each sales executive meets individual sales targets.
    • Assist in developing and implementing strategies for the channels assigned to ensure market share growth.
    • Work closely with marketing and operations team in ensuring execution excellence of all marketing and sales promotion activities.
    • Lead, direct and motivate the sales team including sales forecast, sales plans and targets in order to achieve the predefined sales volume and profit goals.
    • Submit regular sales forecast as required by the management on a monthly basis.
    • Report and analyse sales trends and patterns.
    • Maintain detailed knowledge of the company’s products and services.
    • Keep abreast of what competitors are doing.
    • Assist in preparing action plans by individuals as well as by team for effective search of sales leads and prospects.
    • Initiate and coordinate development of action plans to penetrate new markets.
    • Assist in the development and implementation of marketing plans, if needed.
    • Conduct one-on-one review with all sales team to build more effective communications, to understand training and development needs, and to provide insight for the improvement of sales team sales and activity performance.
    • Provide timely feedback to superior regarding sales performance.
    • Maintain accurate records of all pricing, sales and activity reports submitted by sales team.
    • Compile feedback from sales team and preparation of proposals and presentation to the Management.
    • Assist in controlling expenses to meet budget guidelines.
    • Adhere to all company policies, procedures and business ethics code and ensure that they are communicated and implemented within the team.
    • Resolve customer complaints regarding sales and services to be recorded in the system.
    • Monitor customer preferences to determine focus of sales efforts.
    • Assist in reviewing operational records and reports to project sales and determine profitability.
    • Assist in the planning of staffing, training and performance evaluations to develop and control sales and service programmes.
    • Responsible for the planning and administration of sales team’s monthly duty roster.
    • Create SOP and processes for the division.
    • Supervisee, motivate, coach and monitor team performance.
  • 7. Senior Project Architect
    • Lead project implementation.
    • Ensure that all design works are in accordance to authorities’ requirements as well as employer’s requirements.
    • Plan preparations of work drawings to ensure adequate information for construction.
    • Check detailing and specifications.
    • Coordinate all works with appointed consultants.
  • 8. Manager/ Executive, QAQC
    • Set and advise site staff/ sub-contractor on site quality objective.
    • Verify Project Quality Plan (PQP) for completeness, current and relevant at all times.
    • Perform phased inspection as well as monitor testing required under the Technical Provisions of the specifications for C&S, M&E and Architectural works.
    • Attend weekly progress meeting for every job site and determining with site staff where improvements are required and recommending corrective measures where necessary.
    • Monitor all furnished materials and equipment delivered on site by contractors as to the receiving, handling, storage, installation and testing.
    • Provide monthly report for all QC activities.
  • 9. Senior Designer, Interior
    • Undertake tasks as directed by superior from the higher management as and when necessary.
    • Assist in preparing preliminary design concept.
    • Assist in coordinating interior design construction works with site personnel and responsible for the completion of the project in compliance with schedule, cost and quality.
    • Assist in performing daily site visit and site supervision to ensure that the progress work is in order and look into areas for improvement.
    • Assist in sourcing for project’s furniture, decoration items and other necessary items at shopping malls and furniture retail outlets.
  • 10. Executive, Leasing Administration
    • Day to day administration of tenancies
      • Check edit listing before Accounts division proceed to generate rental billing.
      • Check rental/ water / electricity invoices.
      • Issue log sheet to Accounts division.
      • Update/ track rental collection.
      • Issue reminder letters.
      • Prepare monthly listing report/ outstanding report.
      • Monitor critical dates such as expiry date, option to review, termination, etc.
      • Handle inquiries, tenant communication regarding rent issues (respond to request for maintenance (issue work order) and provide account reconciliation, etc).
      • Prepare Tenancy Agreement.
      • Follow up with panel solicitors on legal actions.
      • Follow up on the status of work orders issued.
      • Inspect final work done on site, if necessary.
      • Coordinate  hand over and take over joint inspection.
    • To undertake any other relevant duties as requested.
  • 11. Senior Executive, Leasing & Sales
    • Market and lease/ sell UOA Business Park commercial (office and retail) spaces.
    • Develop and maintain good relationships with corporate tenants and property agents.
    • Conduct market research for the team on competitors' pricing and market strategies.
    • Prepare and update marketing materials as and when necessary.
    • Update progress report every week for the team.
    • Able to attend to walk-ins, do cold calls and emails.        
    • Conduct site inspection with prospective tenants and/ or property agents.
    • Work with the relevant key personnel to ensure smooth handover of units to tenants or buyers.
    • Work closely with the Sales and Leasing Administration personnel assigned for UOA Business Park with regards to preparation and checking of purchase/ loan documentations, Letter of Offer and down payments, etc.
    • Update the key personnel who is handling the master list on new sales/lease transactions done by the team.
    • Handle tenants' requests or complaints in an efficient and professional manner.
    • Compile newspaper or news-related articles on new commercial project launches and monitor their activities.
  • 12. Assistant, Accounts
    • Data entry for cash book, preparation of bank reconciliations and monthly cash flow statements.
    • Handle full set of accounts, including preparation of general ledger, journal voucher, debit note, credit note, memos, etc.
    • Preparation of P&L, Balance Sheet and Notes to accounts including all supporting schedules such as fixed assets registers, etc.
    • Reconciliation of accounts payable, accounts receivable and intercompany balances.
    • Filing, photocopying and all related administrative work.
    • To get invoices and related documents signed and approved by appointed people.
    • Liaise with Management Office and the staff or other divisions to obtain information and documents.
    • Must possess at least LCCI/ Diploma in Finance/ Accountancy/ Banking or Equivalent.
    • Minimum 1-2 years working experience of handling full set accounts.
  • 13. Assistant Manager, Project Management
    • Coordinate with the respective divisions’ person-in-charge on the potential land acquisition including carrying out viability study, market research/ study, etc.
    • Coordinate project planning and subsequent development matters including liaising with various divisional staff and the Management on the confirmation of Design Concept, Project Specifications, Sales Kit, etc. 
    • Assist in the selection and appointment of Project Consultants.
    • Coordinate and monitor the Project Consultants’ design work progress, submission to and approval by local authorities.
    • Develop and submit progress status reports tracking work progress and cost, proposals, requirements documentation and presentations.
    • Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
    • Ensure that the completion of project meet the time, cost and quality objectives.
    • Assist the Manager, Project in conducting project post mortems and create a recommendations report in order to identify successful and unsuccessful project elements. 
  • 14. Assistant, Accounts Administration
    • Process invoices for payment, including prepare payment vouchers and cheques and arrange for signatures.
    • Update cash book, banking, deal with bank personnel, handle HDA accounts and cash.
    • Handle insurance and licensing matters, telephone calls, filing and administrative work.
    • Must possess at least SPM/ LCCI/ Diploma in Finance/ Accountancy/ Banking or its equivalent.
    • Minimum 5-8 years working experience of handling payments in Accounts division and able to handle multiple companies.
    • Must be experienced in banking, handling cash and able to supervise junior staff.
    • Good communication skills in English and Chinese.
    • Computer literate and good command of Microsoft Office.
    • Possess high level of integrity, meticulous and hardworking. 
  • 15. Executive, Project Management
    • Coordinate works involving the consultants (internal and external), Marketing division, Quantity Surveying division and any other parties involved in the projects assigned.
    • Monitor incoming and outgoing drawings issued by the internal and external consultants.
    • Carry out minimum drafting on projects assigned, particularly in checking technical aspects of designs submitted by the internal and external consultants.
    • Liaise with the internal and external consultants, in keeping track on the authority approval status of the projects assigned.
    • Assist in conducting project post mortems and provide recommendations in order to identify successful and unsuccessful project elements.
    • Prepare presentation slides as and when required.
  • 16. Senior Engineer/ Engineer, Site
    • Monitor closely the site activities, work progress and quality of works by the contractors and report to the Manager, Project on a daily basis.
    • Coordinate works involving the consultants, contractors, Contract division and any other parties involved in projects assigned.
    • Study construction drawing in advance and highlight if there are any outstanding drawings and discrepancies.
    • Keep track of the construction drawings issued by the consultants and make sure the contractors use updated version of drawings at all times.
    • Cross check the construction drawings among architectural, structural and M&E to minimise the abortive works.
    • Cross check the quantities of materials ordered and inspect the quality of materials delivered.
    • Involve in site planning and operation sequence with the contractors to ensure the planning meets Project Management’s programme.
    • Obtain confirmation and approval on the materials selected by the consultants or clients prior to construction.
    • Monitor the safety, cleanliness and tidiness of the job site.
    • Prepare presentation slides as and when required. 

Construction Division

  • 1. Officer, Safety
    • Ensure compliance by the site staff/ subcontractors’ workers with the Department of Occupational Safety & Health (DOSH) safety rules, regulations and requirements pertaining to health and safety matters at the work site.
    • Monitor the site daily safety observation and inspection which include immediate rectification of unsafe act/ unsafe condition encountered at the work site.
    • Ensure that Safe Working Practices are observed and complied with by all staff/ workers working at the site.
    • Ensure that all staff and subcontractors’ workers are using suitable Personal Protective Equipment (PPE) while working at the work site.
    • Carry out and prepare the daily Site Safety Inspection Checklist as well as the scheduled Site Safety Audit.
    • Carry out Safety Toolbox Meeting for the subcontractors’ workers.
    • Organise Safety Induction Training for new workers/ subcontractors’ workers from time to time.
    • Monitor the daily safety general worker’s activities at the site.
    • Inspect the work site machineries and equipment that are being utilised at the site in order to ensure compliance with the project site safety requirements.
    • Assist in incident/ accident investigation and reporting.
    • Attend weekly Site Safety Meeting.
    • A team player and proactive in promoting safety, health and environmental matters at the workplace.
    • Ensure safety signage, first aid kit and firefighting equipment are available and stationed prominently at the work site.
    • Assist and report to the Manager, Safety pertaining to the site safety, health and environmental matters.
    • Must possess at least a Professional Certificate, Diploma in Engineering (Environmental/ Health/ Safety) or equivalent.
    • Must possess a valid JKKP Green Book and registered with Jabatan Keselamatan dan Kesihatan.
    • Minimum 5 years work experience in related field.
    • Familiar with OSHA 18000 system. 
  • 2. Senior Manager, QA/QC
    • Set and advise site staff/ sub-contractor on site quality objective.

    B) CONSTRUCTION STAGE

    Tendering & Award

    • Plan and organise new contracts, and administer contractual obligations for new projects including Tender Schedule and Specifications.
    • Review, evaluate and negotiate tenders/ quotations received and make recommendations to the Management.
    • Determine types of contract form used for the various sub-contract awards.
    • Ensure that all Awards/ Work Orders are in order and being issued accordingly.

     

    Sub-Contracts Claims & Payments

    • Monitor the claim certification schedule to ensure all claims are being processed on time.
    • Certify all Payment Certificates prepared by the respective Project Q.S.
    • Monitor the Project Expenditures Statement vs the Project Budget.
    • Ensure that all Final Accounts are being executed upon completion of work with the relevant warranty, operation manual and as-built drawings.
  • 4. Manager, Contracts
    • Prepare feasibility study and cost estimate for potential/ new development.
    • Review design,specifications and provide input.
    • Monitor and ensure all specifications and sales kits are in order prior to launching or sales of units.
    • Plan and organise new contracts and administer contractual obligations for new projects including Tender Schedule and Specifications.

    • Monitor the quantity and quality of materials ordered and delivered.
    • Prepare cost study for cost saving exercise or alternative specifications.
    • Ensure that all correspondences, records and database are kept up-to-date.
    • Prepare Project Cost Plan upon the completion of each project.
    • Monitor defects and ensure that all rectification works are being carried out by the respective sub-contractors.
    • Perform other duties as and when assigned by the Management.
    • Must possess at least a Degree in Quantity Survey/ Building/ Construction Management or its equivalent.
    • Minimum 8 years of relevant work experience.
    • Strong knowledge of pre and post contract works, cost control, budget and contractual issues is essential.
  • 5. Assistant Manager/ Senior Executive/ Executive/ Assistant Executive, Contracts
    • Oversee measurement of quantities by quantity surveyors.
    • Oversee the issuance of bills and tender documents.
    • Responsible for sub-contractors’ payment certificates and other related tasks.
    • Assist in estimates of construction costs or budget for new projects.
    • Computation of cost and prices.
    • Assist in cash flow monitoring.
    • Compilation of sub-contractor tender documents or quotation including taking-off, calling tender, tender evaluation, tender interview and tender awards.
    • Obtain quotes and material prices for variation works.
    • Prepare material schedules, deliveries and wastage control.
    • Sub-contractors progress payment, debit notes and variation orders.
    • Drawing registration, issuance and updates.
    • As-built site measurement and taking-off.
    • Compliance to ISO 3001 procedures.
    • Must possess at least a Diploma/ Degree in Quantity Surveying/ Building Technology/ Civil Engineering or its equivalent.
    • Minimum 2 years working experience in related field.
    • Fresh graduates are encouraged to apply.
  • 6. Manager, Project
    • Responsible for the successful and effective project management, implementation and handover within specified schedule and budget.
    • Supervise and support the subordinates in performing their duties diligently and efficiently.
    • Coordinate interfacing construction activities with parties on site.
    • Plan the work schedule/ programme and monitor the overall work progress.
    • Liaise and coordinate with the consultants such as architects, engineers, quantity surveyors and relevant authorities for smooth running of the particular projects.
    • Assess, evaluate and verify contractors’ claims.
    • Ensure quality of work done by the contractors aligns with the drawings and specifications.
    • Ensure proper materials and cost control on site.
    • Ensure that safety and emergency procedures are followed at site.
    • Any other tasks assigned by superior from time to time.
    • Candidate must possess at least a Degree in Civil/ Construction/ Structural Engineering or related field.
    • At least 10 years of working experience in property development, construction industry or other related fields is required for this position.
    • Familiar with construction drawings and construction process.
    • Independent, proactive, team player, able to work under pressure to meet target dates and quality products.
    • Preferably with high-rise building experience.
    • Possess own transport (car) with valid driving license.
    • Required Language(s): English, Mandarin and Bahasa Malaysia.
    • Required Skill(s): Microsoft Project, Microsoft Office and AutoCAD.
  • 7. Supervisor/ Senior Supervisor, Structural
    • Lead and supervise daily site construction work in progress.
    • Plan, coordinate, monitor and control daily site construction works to ensure timely completion within budget and quality requirements.
    • Manage, monitor and control site construction to reduce material wastage plant and machinery idling.
    • Ensure site works are carried out as per drawings.
    • Ensure compliance with safety standards and adherence.
  • 8. Site Architect, Supervisor
    • Plan and coordinate all related architectural matters, where applicable, in the day to day duties and administrating Building Contract.
    • Ensure that construction projects meet environmental, safety, structural, architectural, zoning and aesthetic standards.
    • Study and review architectural drawings and specifications to ensure compliance with company standards, specifications and requirements.
    • Check architectural design documents and drawings, highlight problems and discrepancies, and recommend solutions.
    • Lead and supervise daily site construction works.
    • Liaise and coordinate with the authorities, consultants, site staff and contractors pertaining to design intent.
    • Candidate must possess at least Degree/ Diploma/ Certificate in Architecture or related field.
    • At least 3 years of working experience in related field is required for this position.
    • Independent, proactive, able to work under pressure to meet target dates and achieve quality products.
    • Preferably with high-rise building experience.
    • Candidates must be willing to work in Selayang.

Facilities Management Division

  • 1. Assistant Manager, Facilities Management
    • Assist the Assistant Head, Facilities Management in overseeing and checking on renovation works.
    • Assist in ensuring that House Rules & Regulations are well implemented.
    • Assist the Assistant Head, Facilities Management in monitoring as well as evaluating/ implementing Key Performance Indicator (KPI) in Dats Management.
    • Manage and monitor the Maintenance Team including Security.
    • Set-up reporting system for the Maintenance and Security Team.
    • Assist in cost budgeting.
    • Ensure that all Mechanical & Electrical system and equipment are well-maintained including scheduled preventive maintenance measures.
    • Resolve any problems occurred immediately.
    • Ensure that the buildings are in tip-top condition and to recommend improvements as and when necessary.
    • Train and motivate staff in their respective job scope and promote teamwork.
  • 2. Senior Executive/ Executive, Facilities Management
    • Assist the Manager, Facilities Management in the daily function and duties of facilities management and administration of Suria under Dats Management and/or UOA Group of Companies.
    • Assist in ensuring that House Rules & Regulations are well implemented.
    • Assist the Manager, Facilities Management in monitoring as well as evaluating/ implementing Key Performance Indicator (KPI) in Dats Management.
    • Assist in cost budgeting.

    • Attend to enquiries, complaints from owners/ residents through phone calls, emails, walk-in or letter; assign tasks; issue work order/ service order and coordinate with the respective personnel to rectify the complaints, follow-up actions by the other facilities staff until the problems are resolved, and keep record on the complaints.
    • Coordinate with the maintenance personnel, system technicians, security division and property/ rental division in relation to the complaints and operations of the project.
    • Assist in handover of vacant units to owners including preparation of documents, unit keys, access cards, car stickers, house rules, documents and forms.
    • Assist in coordinating with the facilities personnel to ensure building defects are being attended to.
    • Coordinate with purchasing division on delivery of purchases.
    • Attend to renovation application matters such as processing renovation work approval, coordinate with the different sections for approval of renovation plans, processing and refunding of renovation deposits.
    • Assist in monitoring renovation works in accordance to in-house rules. 
    • Ensure that proper and completed drawings are submitted and properly circulated to relevant divisions/ personnel.
    • Liaise with tenants/ owners and contractors during renovation stage.
    • Issue internal company work order, generate debit notes and staff charge out costs, and prepare monthly on work order.
    • Process new applications for access card and resident ID, and process lost and found cards.
    • Prepare quotation and billing to tenants/ owners.
    • Carry out common area walkabout and ensure the system upkeep and in good working condition.
    • Follow up and follow through repair/ maintenance works, until the works are rectified and completed.
    • Compile monthly building report, license, service report, service agreement and other relevant documents.
    • Compile and ensure that all documents, information and records are up-to-date.
    • Compile proposals for additional equipment and take care of vendor agreements.
    • Attend to ad-hoc assignments assigned by superior.
  • 3. Executive, Facilities
    • Maintain and continually improve the maintenance system and process within Dats Management.
    • Ensure the effectiveness on the utilisation and operation of all M & E system  including chiller, pumps, etc.
    • Take over new project from the relevant parties and carry out system and defect check.
    • Involve in  upgrading works (from planning and obtaining approval to commencing work) of all the buildings/ properties under Dats Management and/ or UOA Group of Companies.
    • Review and comment on the renovation plans for major renovation works submitted by owners/ tenants or residents.
    • Review quotations and proposals related to M&E matters, and coordinate with M&E division prior to decision making.
    • Monitor utilities consumption at all buildings/ properties under Dats Management and/ or UOA Group of Companies.
    • Assist in M&E matters and daily operation of all the buildings/ properties under Dats Management and/ or UOA Group of Companies.
    • Attend to enquiries, complaints from owners/ tenants, residents pertaining to M&E matters.
    •  Plan and implement energy saving initiatives.
    • Conduct cost study and develop annual budget plan.
    • Attend to ad-hoc assignments.
  • 4. Manager, Facilities Management
    • Approve, oversee and check renovation work.
    • Ensure that House Rules & Regulations are well implemented.
    • Manage and monitor Maintenance Team including Security.
    • Set-up reporting system for the Maintenance and Security Team.
    • Ensure that all defects and complaints, among others  are attended to promptly and efficiently. Defects, under defects liability period, are to be compiled and forwarded to the Senior Manager, Site (Finishing), and to ensure satisfactory rectification of defects within reasonable time.
    • Cost Budgeting.
    • Ensure that all Mechanical & Electrical system and equipment are well-maintained including scheduled preventive maintenance measures.
    • Resolve any problems occurred immediately.
    • Ensure that the buildings are in tip-top condition and to recommend improvements as and when necessary.
    • Good maintenance, security and customer service are top priority. Update and maintain tenant list.
    • Train and motivate staff in their respective job scope and promote teamwork.
    • Any additional tasks assigned by superior.
  • 5. Chargeman (BO/ A4/ A1/ AO)
    • Responsible for the maintenance and operation of M&E System of the building and perform frequent inspections to ensure that the system is in good working condition at all times.
    • Ensure that the operation equipment such as electrical, air-conditioning, fire protection system and other engineering equipment are operating smoothly and efficiently.
    • Monitor the daily, weekly and monthly checklists/ reports as required by ISO standards from the working team.
    • Provide technical knowledge and skills in maintaining HV switch gears panels; HV/LV power transformers; LV main switchboard standby generators in good running condition. Propose or feedback any suggestions to Senior Chargeman on matters pertaining to the operation enhancement of the division.
    • Must possess a Certified Chargeman BO from Energy Commission (Suruhanjaya Tenaga) and Chargeman A4-1 Certificate issued by Suruhanjaya Tenaga.
    • Minimum 3-5 years of relevant working experience in commercial or high-rise buildings.
  • 6. Manager, Administration
    • Provision of general assistance in maintenance and administrative works of each respective building/ properties.
    • Assist the Assistant Head, Facilities Management in the day-to-day administrative functions.
    • Responsible in overseeing and coordinating the overall non-technical operations; formulate and implement all administrative functions and procedures at the respective properties managed by the Company.
    • Formulate, implement and maintain the Standard Operating Procedures (SOP) as well as compliance of ISO procedures by the staff concerned.
    • Conduct inspections on offices and facilities of the Company for safety and health hazards and make recommendations to improve or modify the existing facilities that are affecting staff.
    • Assist the HOD in HR administrative matters including staff recruitment, discipline and control.
    • Liaise closely with the Group HR division on all HR matters.
    • Ensure that jobs/services rendered by the maintenance team which are chargeable are invoiced and accounted for.
    • Review and ensure that all service agreements are in compliance with the established standards.
    • Responsible for the development and administration of budget, forecast various resources required, monitor and approve expenditures and recommend adjustment as and when necessary.
    • Work closely with the Facilities Managers in any issues pertaining to the administrative work and staff performance.
    • Ensure that performance appraisals for new and current staff are done on time and action taken in respect of staff confirmation or termination.
  • 7. Technician, Electrical
    • Able to rectify works, e.g. M&E works.
    • Attend to owners and/or tenants’ complaints and ensure complaints are attended to.
    • Able to work with minimal supervision
    • Team player, hardworking and responsible. 
  • 8. Technician, Security System
    • Supervision and maintenance of security system.
    • Must possess at least SPM/ Diploma in Electronics/ Telecommunications or equivalent.
    • Minimum 2 years experience in security system project installation or maintenance.
    • Computer literate with good discipline.
  • 9. Technician, Facilities
    • Responsible for the repairing and servicing of the electrical aspects of common areas and ensure smooth operation of the building facilities.
    • Responsible for repairs, maintenance and up-keeping of the properties of common areas.
    • Perform inspections on the facilities/ electrical services to ensure smooth operation at all times and in accordance to ISO procedures. Repair or change parts/ components as and when necessary.
    • Inspect and test the functioning of the water pump every month at the Pump House (RC Tank) and domestic tank; ensure that the water pressure is consistent; inform superior in order to carry out the repair works immediately upon detection of abnormalities.
    • Troubleshoot and carry out repair and maintenance works for minor electrical defects.
    • Facilitate and monitor TNB/ SYABAS personnel in reading meters, and to record all sub-meter reading for billing purposes.
    • Up-keep and ensure proper maintenance of the company’s premises; constantly check on the conditions of the ceiling board, door lockset, door closer, etc.; to repair or change the parts as and when required or instructed by superior.
    • Monitor and ensure that all works being carried out by the renovation contractors are in accordance to the specifications/ renovation rules and regulations.
    • Coordinate and supervise the service contractors during servicing to ensure that they  adhere strictly to the specifications stated in the service agreement.
    • Prepare inventory listings and monitor stock flow of related materials; and issue Purchase Requisition when stock runs low.
    • Assist and relieve fellow colleague(s) of his/her work tasks in the event of short-handedness. Ensure that proper briefing is given by colleague(s) on their duties and responsibilities to avoid any misunderstanding or miscommunication in the work processes and procedures, and to work as a team.
  • 10. Assistant/ Officer, Administration
    • Handle documentation for renovation works.
    • Recordkeeping and monthly tracking of Service Contract/ License Agreement.
    • Recordkeeping and update on ISO documentation.
    • Perform administrative and office support activities for the division.
    • Facilitate efficient operation of the division.
    • Must possess at least a Diploma/ Degree in any field.
    • Minimum 2-5 years relevant work experience.
    • Fresh graduates are encouraged to apply.
  • 11. Assistant, Facilities (Handyman)
    • Carry out internal painting works for the company’s premises.
    • Up-keep and proper maintenance of the company’s premises; constantly check on the conditions of the ceiling board, door lockset, door closer, etc.; to repair or change the parts as and when required or instructed by superior.
    • Coordinate and supervise the service contractors who are carrying out specific works; ensure that they adhere strictly to the specifications and methods of installation.
    • Clean and clear the residues left on the sump pit as per the work schedule.
    • Repair of plumbing and sanitary piping as and when instructed by superior.
    • Update and brief superior on pending and incomplete work at the end of the day before leaving the office.
    • Carry out maintenance work and up-keep of the company’s premises.
    • Work towards zero level down time.

Security Services Division

  • 1. Guard, Security
    • Report for duty 15 minutes before start of daily shifts for daily briefing.
    • To be at post deployed at all times unless there is a replacement.
    • Report any incidents to the Control Room and Senior Guard.
    • Patrol residential and commercial premises to prevent and detect signs of intrusion, and ensure security of doors, windows and gates.
    • Maintain all security record books at post.
    • Monitor and check car parks.
    • Be aware and observant within the vicinity areas.
    •  Respond to any emergency cases,and provide fire and medical assistance.
    • Monitor and authorise entry/ departure of employees, visitors and other persons to guard against theft, and maintain security of premises.
    • Oversee the inspection of all packages entering and exiting the buildings.
    • Ensure the safety and security of guests and employees.
    • Ensure the protection of property and assets of the company.
    • Look for lost items belonging to staff or members of the public.
    • Handle all sensitive and confidential information in a professional manner.
    • Present a positive image and maintain good relations with building owners, tenants and visitors.
    • Carry out any tasks as and when required by superior.
